Components include DocuLex Goby Capture, facilitating automated document imaging, knowledge management and workflow collaboration, with accurate text recognition, zonal OCR and barcode processing, and auto document break detection. Goby offers ODBC connection to line-of-business applications for pulling existing meta data from an organization's existing database. Custom XML recognition is added for use with third party MFP touch panel devices and network scanner applications. Goby has implemented the use of workflow status codes, auto notification and the ability to route documents to targeted WebSearch users. Additionally, a new smart installer is used for ease of implementing the program's periodic updates.
Content management component DocuLex WebSearch is an easy to use, browser-based content management program developed for use throughout a business's operations to enable secure content access from any location with convenience of use that is similar, yet easier, than an Internet search engine. Searches may be performed using document specific meta data descriptions, full text content, as well as date ranges, search history, search lists and saved searches.
Driven by a convenient dashboard display featuring the program's functions menu, WebSearch is now a workflow enabler, providing users the ability to share and amend native format documents, while organizing and tracking each amended version. The program's WorkSpace enables users to group sets of documents together to be shared with colleagues, and a discussion feature has been added for users to comment on document's content. The SharePortal function of WorkSpace enables users with the ability to securely share documents with 3rd party guests.
Beneficial to the user is a Web2.0 visually appealing browser interface, with functionality that is easier to use than most Windows applications. The server-based software automates complex documentation organizational functions including browser-based file room views and group collaboration folders.
Documents of any file type may be uploaded directly to WebSearch, indexed (with additional document identifying metadata added remotely if necessary) for native format storage and ease of access.
DocuLex WebSearch also has the capability of pulling all inbound and outbound email from the Microsoft Exchange Journal mailbox. This automated, behind the scenes process negates user involvement, ensuring thorough capture and retention of all email and attached content. The SQL or SQL Express database support handles substantial file data storage, providing users with Microsoft's off-the-shelf database power. The Active Directory integration enables heightened security and user permission access and tracking. The program manages multiple levels of security, including Organization, Community, Group, Users, as well as individual files. Document and user activity tracking logs are always available, assisting in compliance of privacy laws including SEC, FINRA (NASD / NYSE), GLBA, HIPAA, FRCP, FERC and Sarbanes Oxley.
WebSearch also serves as an off site document archival/disaster recovery facilitator, with advanced public-key infrastructure (PKI) providing encryption and digital signature security for outsourcing daily-use information access to the electronic file storage.
WebSearch can be installed locally or accessed as a software service between the public internet and the users primary mail server. Email is secured by WebSearch, maintaining private access rights by sender or recipient. However, email deletion is unavailable by users, access logs are maintained and retention is managed by the records management module.
Incoming, outgoing and internal emails are captured instantly and actively by the archive server using a journaling function inherent to the clients' mail server (for Exchange and POP3 servers). Any email and attachments sent or delivered will be archived and processed.
Captured messages are placed in a locally delivered archive mailbox, (without open transmission). This mailbox is the sole domain of each organization.
